Privacy Statement UvA FMG Research Lab

Privacy is a highly important topic for the University of Amsterdam (UvA), and therefore the UvA handles your personal data with care. In this Privacy Statement we describe how personal data is processed when you register at the FMG Lab website (https://www.lab.uva.nl/lab) of Faculty of Social and Behavioral Sciences, University of Amsterdam. This website falls under the domain of the University of Amsterdam.
Note: This privacy statement does not cover the personal data processing conducted in the context of research projects you may participate in and are separately informed about. For more information about the processing of your personal data in the context of a specific research project, please contact the relevant researcher.
Who is responsible for processing my personal data?
The UvA is the party responsible for processing your personal data within the meaning of the General Data Protection Regulation (‘GDPR’). The UvA is located at Spui 21, 1012 WX Amsterdam. Our postal address is PO Box 19268, 1000 WX Amsterdam.
Which (categories) of personal data are processed?
  • Name
  • Email address
  • Mobile number
  • Research project participation
  • IBAN bank account (mandatory only for certain research projects)

For what purpose will my personal data be processed?
The UvA will process your personal data for the following purposes in the context of the FMG Research Lab:
  • The researcher will use your name, email address and possibly telephone number to contact you to make an appointment and, if necessary, to provide you with additional information about the research
  • Your research project participation will be used to determine the appropriate reward for you based on the length and type of the research
  • Your IBAN account number will be used to pay you for your participation
What is the legal basis for the processing of this data?
The UvA processes your personal data based on public interest. UvA has a legal task to conduct research as per the law and processing personal data listed above are necessary to fulfill this task.
Will my personal data be shared with third parties?
The UvA will only share your personal data with third parties if this is necessary to support the performance of the UvA’s tasks, for example, an SMS provider to make appointments for your research participation. The UvA has written agreements with third parties about the processing and security of your personal data.
Will my personal data be transferred to countries outside the European Union?
No, your personal data will not be transferred to countries outside the European Union.
How will my personal data be secured?
The UvA takes appropriate technical and organizational measures to protect your personal data against unauthorized access, loss and any form of unlawful processing. The personal data is stored encrypted and can only be unlocked and accessed via the FMG Lab. The data are stored on systems that are fully managed by the UvA. The systems are not accessible to third parties and are not shared with third parties. The systems are located in a physically secure area within the UvA grounds in the Netherlands. Only administrators have access to this space. All systems are kept up to date and have the latest security software to protect against unauthorized access.
How long will my personal data be stored?
We will not keep your personal data for longer than is necessary for the purposes for which we use it. Where possible we will pseudonymize or anonymize the data.
Note: Sometimes it is important for the research project that your registration data are retained for a longer period of time. Your permission will be requested at the start of the study.
How can I exercise my privacy rights?
On the basis of the GDPR, you have the right to access the personal data that we process, to correct your personal data if it contains factual inaccuracies, to have your personal data deleted, to limit the processing of your personal data, and – subject to certain conditions – to object to the processing of your personal data and the right to data portability.

If you are not satisfied with how the UvA dealt with your personal data, you can submit a complaint with the Data Protection Officer (DPO) of the UvA, via fg@uva.nl. The DPO is the link between the UvA and the external regulatory authority (the Dutch Data Protection Authority). The DPO acts independently, has a duty of confidentiality and may consult or seek advice from the Dutch Data Protection Authority regarding your complaint. If you disagree with the outcome of the DPO’s handling of your complaint, you can submit a complaint directly to the Dutch Data Protection Authority.
